Main purpose of job :
To fully support the Cambridge Office Manager (SFR) in ensuring the smooth running of all administrative tasks within the office.
Key Responsibilities :
Main duties
* Meet and greet clients/reception answer switchboard calls/point of contact between Head Office and the Saffron Walden Office
* Dealing with queries/book meeting rooms
* Maintain sickness records and report same to the H.R. Manager
* Provide refreshments for clients/keep meeting room and reception clean and tidy
* Assist all teams with photocopying and scanning
* Urgent hand deliveries and courier between any of the offices when urgent documents/cheques are required
* Answer calls and take messages for all teams where necessary
* Assist all team members with marketing activities/clients/contacts and events
* Take copies of I.D., terms & conditions, fixed fee payments and other documents from clients
* Collect post & DX in the morning and take post and DX to respective points of collection in p.m.
* Banking, including requisitions and manage petty cash (liaising with Accounts at Head Office).
* Manage the production of letters/documents from outsourced dictation
* Quotes
* Filleting of closed files
* File Reviews
* Organise stationery, office supplies, bin bags, washing up liquid, toilet rolls, coffee and tea, etc.
* Sort out newspapers and purchase flowers
