Responsible for managing commercial information to all Directors and senior staff for the London office in addition to doing office management for the London office This will require strong interpersonal, financial and organisational skills. Responsibilities include:
Ensuring expenses are built into fee arrangements.
Assisting with large bid preparations.
Co-ordinate fee levels between project teams. Ensure that timesheets are managed and appropriately recorded against respective job numbers.
Oversee secretaries and administration staff. Chair monthly secretaries meetings to highlight any relevant issues, co-ordinate holiday's and appropriate cover, ensure secretaries have point of contact to raise issues.
Control and manage external suppliers, equipment provision and maintenance
Responsible for Health and Safety Issues, Fire Marshall responsibilities, First Aid Training and any Health and safety raining required
Conduct Induction for new starters - General company information, staff handbook details, tour of building and facilities, introduction to teams and their main points of contact.
Maintaining accurate contracts for all temps/contractors and sign off appropriate invoices.
Ensure all contracts of employment are issued and that 3 month reviews are conducted
Ideally you will be from an architectural/consulting background, be very numerate and organised and will be experienced and understand the managing of financial statistics. You will have first class Excel skills, possess gravitas and subtlety alongside good interpersonal skills, and be the general facilitator of all Group services to all the Business Units which occupy the London Office.
He/she will be people orientated, but also firm, efficient, imaginative and sympathetic to the design profession and its special requirements. A good knowledge of accounts, personnel needs and office administration will be key responsibilities for this role.
